Billing

Every entitlement carries a billing record: who bills it and how, the invoice contact, and — once a connector is involved — the provider’s own references and the state it last reported. An offer holds the same record as a template; the contact details and the provider’s references are never templated, since they belong to a specific order.

A billing record is always in exactly one of three states:

  • Managed by the provider — the default. A connector (see Stripe) reads what the provider reports and keeps the plan and subscription state in sync on its own.

  • Managed by vendor — you’re driving it by hand instead: a pilot served ahead of payment, a negotiated enterprise deal, a partner or comped account, an internal or showcase tenant. Turning it on asks for a reason, kept with the record. While it’s on:

    • checkout from inside your application is refused for that entitlement;
    • the provider’s events for it are received but never applied — a renewal, a plan change or a cancellation changes nothing here;
    • it never lapses automatically for non-payment.

    You still apply the plan yourself, on the entitlement’s Usage Plans tab. Turning it back off hands control to the provider again from its next event; the record’s provider and any references it already carries are untouched by the switch.

  • Not billable — never billed, by anyone: for internal, system or sibling-environment entitlements that carry no payment story at all.

The entitlements list has a Billing column and filter, so paid, past due, lapsed or vendor-managed entitlements are one click away.

  • Provider — Stripe (through a connector), or a name of your own for billing you run outside Oclavex.
  • Method and interval — subscription, one-time, invoice or free; how often it recurs.
  • Amount — for your own records; Oclavex doesn’t charge anything itself.
  • Billing reference and notes — the customer’s purchase-order or cost-centre reference, and free-form notes.
  • Billing contact — who receives the invoice, when it differs from the customer’s own details.
  • Subscription state — written by a connector: its references, the current period end, and what it last reported.
  • Templated by → an offer, for every entitlement ordered from it.
  • Kept in sync by → the Stripe connector, when the provider is Stripe.
  • Shown on → the entitlement’s Billing tab, the first one on every entitlement; see Author & publish entitlements.
